How quickly can MindForge be set up and started on a job site?
MindForge can be set up and running very quickly. Jobsites setup typically takes between 5 and 20 minutes, depending on how the job site is structured.
In as little as 5 minutes, an admin can create a project, add basic notes or contacts, and generate a QR code for worker onboarding. In about 20 minutes, admins can create subcontractor teams, assign orientations, and share QR codes across the site.
Once setup is complete, onboarding workers is simple. Workers scan a QR code, create their profile, and are automatically added to the project. Any required orientation is automatically assigned when they join, allowing crews to onboard at any point during the project without delays. This approach helps get workers into the field faster while maintaining consistent orientation delivery and complete digital records.
How is MindForge different from other digital orientation platforms?
Most digital orientation platforms are one-and-done. A worker completes orientation, signs off, and the system is rarely used again. While many general contractors strongly believe in conducting in-person orientations to set expectations, establish culture, and look workers in the eye, communication often stops once the worker leaves the trailer.
MindForge changes that. It allows job site and company leaders to continue communicating directly with workers throughout the project's life. Instead of relying solely on foremen to relay information, MindForge delivers alerts and updates directly from project leadership to the workforce, reducing message dilution and ensuring everyone hears the same information at the same time. Is there any pushback from workers about adding an app to their personal phones?
Our customers tell us that pushback is very minimal. Customers do not force anyone to download the app since it is a personal choice. Customers also make it clear that all job site alerts, schedule changes, weather notifications, and important updates will be communicated through MindForge. Over time, workers come to see the value of receiving messages directly rather than relying on others to relay information. Adoption happens organically, and pushback represents a very small percentage of the workforce.
Do you see pushback from union workers about downloading a work app?
We work extensively with union contractors and see very little pushback when expectations are clear. MindForge does not track location, time, or productivity, and it does not replace union processes. It is used for safety alerts, orientations, and important job site information. Many unions appreciate that it ensures everyone receives the same information at the same time.
Does MindForge track worker location?
No. MindForge does not track GPS location or movement. It is designed to deliver alerts, training, and job site information, not to monitor workers.
Front-line Worker Experience
Does a worker have to have a email to log in?
No. Workers do not need an email address to use MindForge. MindForge supports login using a phone number and in fact phone numbers are encouraged so workers can receive verification codes and password reset messages directly via text.
What happens if a worker does not have a smartphone?
This is a very fair question, and one we hear often. The good news is that smartphone ownership is extremely common today. More than 90 percent of U.S. adults own a smartphone, including the vast majority of construction workers. On most job sites, the number of workers without a smartphone is very small, and many sites report none.
That said, we understand there may be occasional exceptions. In rare cases, we recommend having a shared job-site tablet or iPad available. Project admins can use that device to help a worker create their profile and complete orientation.
If a worker does not have the app on a personal device, they will not receive alerts directly. In those situations, teams rely on supervisors or crew members who do have the app to help relay important messages and urgent updates. Overall, this scenario is uncommon and does not prevent teams from successfully using MindForge on the job site.
How does MindForge support communicating with the Spanish-speaking workforce?
MindForge supports Spanish-speaking workers in multiple ways. Based on a worker’s device settings, the MindForge app is available entirely in Spanish, including menus, navigation, and prompts.
For alerts and messaging, MindForge uses auto translation to help ensure everyone understands the message. If an alert is sent in English, workers whose devices are set to Spanish will automatically see the message translated into Spanish. If an alert is sent in Spanish, workers whose devices are set to English will see it translated into English. In both cases, users can easily view both the original message and the translated version, helping prevent confusion and missed information.
Do workers have to create a new profile every time they go to a new job site?
No. One of the key differences with MindForge is that the worker profile lives with the individual, not with the job site or employer.
For example, if a worker completes an orientation with one employer and later works for a different company or project, they use the same login and the same profile. They simply scan a QR code to onboard to the new team and project.
This allows workers to carry their profile from job to job and employer to employer without creating new accounts or remembering multiple logins. Many other platforms require a new profile per organization or per job site, which creates unnecessary friction.
MindForge removes that burden.
MindForge Messaging/Alerts
How is MindForge different from group texting?
Group texting is limited in size and quickly becomes difficult to manage. Phone numbers must be manually maintained and messages can get buried as conversations grow. Group texts do not scale well as crews change.
MindForge organizes workers by job site and project, allowing admins to send alerts without size limits or manual list management.
How is MindForge different from mass text messaging solutions?
Traditional mass texting tools are hard to manage, limited to a single project, and often flagged as spam by cellular providers. They also send alerts directly to a worker’s personal text feed, which can quickly become overwhelming and cause important job-site messages to be missed. MindForge keeps job site communication separate from personal texting by delivering all alerts and messages within one dedicated job site app.
Mass texting tools typically restrict message length, do not support images or video, and offer only one way for workers to opt out. Replying STOP permanently removes a worker from future messages, leaving admins with limited visibility and control. With MindForge, workers can opt out when needed, while admins retain visibility and the ability to easily manage and re-add workers.
How does MindForge support urgent and emergency alerts?
MindForge includes an urgent alert feature with a unique audible chime and a high-visibility yellow banner. Customers use this for fires, lightning stand downs, severe weather, and notifications about nearby active shooter situations.
On large or vertical job sites, air horns cannot always be heard. MindForge serves as a strong supplement to traditional emergency notification methods so everyone receives instructions at the same time.
How do I know if someone has viewed a message?
All sent alerts and messages include live read receipts. When a message is viewed, an eye icon appears, allowing admins to see who opened the message along with the date and time it was viewed.

Does delivering digital orientations mean there is no in-person orientation?
No. Using digital orientations does not eliminate the in-person portion of your orientation. In fact, it often makes the in-person time more effective.
Many customers ask workers to complete the digital orientation before arriving on site or before walking into the trailer for the in-person orientation. This allows the in-person session to be shorter and more focused on job site-specific conditions, expectations, and current risks. Instead of spending time on general information, teams can focus on what matters most for that project. It also helps get workers into the field faster and allows safety and project teams to spend more time supporting crews in the field and ensuring work is done safely and correctly.
Can I still conduct orientations in person and only use MindForge for a digital quiz?
Yes. Many customers choose to conduct the full orientation in person and use MindForge only to deliver a digital quiz. This allows them to capture quiz results electronically and maintain a digital record of orientation completion, eliminating the need for paper sign in sheets while still keeping the in person experience intact.
Does MindForge support multi language orientations?
Yes. MindForge supports multi-language orientations when building custom courses. Admins can select the languages that match the course assets they have available. The most common configuration is English and Spanish.
Admins upload English and Spanish assets during course creation. If translated content is not available, MindForge offers a content translation service, including video translation and conversion of PowerPoint presentations to video format. This service is available at an additional cost based on content and language needs.
What types of files does MindForge support for orientations and training courses?
MindForge supports videos, PDF documents, and image files when building custom orientations and training courses. MindForge also supports quizzing within courses to reinforce understanding and document comprehension. This allows companies to create flexible training that works well for the field.
Can MindForge be used for Toolbox Talks?
Yes. Toolbox Talks can be delivered through MindForge as short courses or messages. Content can be sent before the workday or used during huddles, and admins can track acknowledgments and completion.
How do I know if people have completed their orientation?
MindForge includes reporting on all course completions. Admins can filter results by worker course name and other criteria and export detailed training metrics through the web app. When in the field admins can also select an individual worker on a mobile device to view assigned courses and see which trainings have been completed and when.
When a worker completes a course on their mobile device, can they download a certificate of completion?
Yes. When a worker completes a course on their mobile device, they can go to their profile, select assignments, choose the completed course, and download the certificate of completion directly to their phone.
Can MindForge help create orientation videos?
Yes. MindForge offers a service to help create orientation videos from your existing PowerPoint slide decks and talking points.
